5 things you didn’t know your copier could do
Your photocopier is one of the most sophisticated pieces of equipment in your office. Most people only make use of it’s basic functions, such as scan, copy, fax and email, but there are so many more time saving features available which remain relatively unknown.
Print Logic, photocopier and managed print market leaders in the North West and Midlands, take time to consider each one of the lesser known features when selecting a model to recommend to our customers in order to maximise their effectiveness to offer the most benefits to the end users.
Many of the newer, cutting-edge devices Print Logic supply come packed with many different small benefits which make big differences, and we’ve listed the best one’s below.
Having a machine which is completely powered up all of the time isn’t great for the environment due to the electricity used to keep it running at 100% power, 24/7. Nobody likes receiving their business energy bill at the end of the month, especially when the electricity total is higher than last month's.
To help reduce costs, that latest Sharp devices now come equipped with a special motion sensor as standard. This can detect when a member of staff approaches the copier and will wake the device up from standby quickly, so by the time that person reaches the screen it’s ready to be used.
This feature keeps the device in low power mode until a colleague moves up to the machine, and then powers to full capacity really quickly. After they’ve completed their work, the device again detects that they’ve moved away, and returns to a low power mode until it’s needed again.
Scan to editable files
Using cutting edge technology called ‘Optical Character Recognition’, or ‘OCR’, newer photocopier models can turn you paper scans into an editable file, such as a Word or PowerPoint document. Alternatively, you can also scan and save paperwork as a special type of PDF file, which is ‘searchable’, allowing for fast retrieval later on.
Having the ability to scan in paperwork which can then be edited quickly and easily saves many of Print Logic’s customers a lot of time and work when any amends or corrections need to happen. Additionally, when looking for archived files, the searchable PDF files are quickly and easily located, saving even more time.
Print marketing materials
With third party printing often being an expensive necessity for company’s who wish to print off marketing assets, having the ability to produce in-house is a huge benefit, both for time and cost. Edge to edge printing is a feature on our newer models, using SRA3 paper, anyone can print full bleed documents and then trim them down later on. Additionally, banners, flyers and posters can be printed using an office photocopier with a special feeder paper tray, so customer’s can save time, effort and money.
EasyFile links your scanning devices with your CRM, CMS and storage systems (cloud based and local) in order to automate all scanning and archiving activities. This enables users to turn time consuming processes involving manually scanning, sorting, naming and filing of documents into an activity which can be started and completed in moments. This allows them to then focus on value based activities, instead of spending hours at a photocopier daily. Additionally, all documents scanned are sorted through and archived correctly according to your specific requirements, so you can guarantee all data is stored properly.
With EasyFile, time consuming processes are completed in seconds, allowing your staff to focus on value based activities.
Pull out keyboard
Many of the newer Sharp devices come equipped with a pull-out keyboard, which offers users a physical alternative to the on-screen keyboard. The keyboard lets users type at a faster speed, and make the most use of every function quickly and easily.
